Adding your employees into the Zorro platform is a key first step in the onboarding process.
Getting this right ensures that all employees are correctly set up for enrollment and receive their activation links without delay.
Step-by-step: How to add employees
Step 1 – Copy the sample roster
Start by making a copy of the sample roster template provided by your Zorro onboarding team.
Step 2 – Complete the template
Fill in each column carefully.
Make sure to complete every required field:
Full Name
Email Address
Date of Birth
Physical Address (no P.O. boxes)
Phone Number
IMPORTANT NOTE:
Only include employees who are eligible for benefits.
All contact information must be accurate — activation links and enrollment notifications will be sent to these addresses.
If an employee doesn’t have a company email, enter their personal email address in the same column.
Step 3 – Optional columns
There are a few optional fields that may be useful for your organization’s structure.
Column | Description |
Sub-Entity | Use if you’d like to group employees by location, department, or other segments. Leave blank if not needed. |
Class | Leave blank unless your allocation model discussions with Sales already defined employee classes. Zorro will populate this field later. |
Step 4 – Review for accuracy
Before sending your roster, double-check:
Addresses are complete (no missing ZIP codes or P.O. boxes)
Emails are correctly formatted
Every employee has a phone number
Only eligible employees are listed
Getting the roster right the first time helps avoid delays in employee onboarding and ensures everyone can start enrollment on time.
Step 5 – Submit your roster
Once your roster is complete, simply email it back to your Zorro onboarding contact.
Zorro will:
Review the file for formatting and completeness
Upload your employees to the platform
Send activation invitations automatically
From there, your employees will be ready to log in, review their benefits, and complete enrollment.
